Today, I’m going to walk you through a 7-figure hiring system I use for my own business and have built for various seven and eight-figure companies. This system is incredibly straightforward yet powerful. We’ll be using Make.com, ClickUp, and Typeform to streamline our hiring pipeline. Buckle up and let’s dive in!

Why You Need an Automated Hiring System

Imagine processing hundreds of applicants effortlessly while focusing only on the best candidates. This system saves you time and ensures you never miss out on top talent. Here’s how to build it step-by-step.

Tools You’ll Need

  1. Make.com: Our automation platform.

  2. ClickUp: For managing the hiring pipeline.

  3. Typeform: To gather applicant information.

Step-by-Step Guide to Building the System

Step 1: Set Up the Typeform

First, we need to create a Typeform to collect applicant details.

  • Create a New Form: Add questions for contact info, a loom video link, and whether they’ve sold high-ticket items.

  • Publish the Form: Ensure it’s live and ready to accept applications.

Example Typeform Questions:

  • First name, last name, phone number, email

  • Link to a one-minute loom video

  • Have you sold a product worth more than $5,000?

Step 2: Create the ClickUp Hiring Pipeline

Next, we’ll set up a ClickUp list to manage our applicants.

  • Create a New List: Name it "Hiring Pipeline."

  • Add Custom Fields: Include fields for first name, last name, email, phone number, high-ticket experience, loom video link, and stage.

ClickUp Custom Fields:

  • Stage (Intake, Reviewed, Interview 1, Interview 2, Hired, No Fit)

  • First name, last name, email, phone number

  • High-ticket experience (Yes/No)

  • Loom video link

Step 3: Connect Typeform to ClickUp via Make.com

Now, let’s automate the flow of information from Typeform to ClickUp.

  • Create a Scenario in Make.com: Use the Typeform module to watch for new form submissions.

  • Add a ClickUp Module: Create a task in ClickUp with the applicant's details from Typeform.

Step 4: Automate Interview Invitations

We’ll set up automated emails to invite candidates for interviews based on their application stage.

  • Create a Webhook in ClickUp: Trigger when a task’s stage changes to "Interview 1" or "Interview 2."

  • Send an Email: Use Make.com to send a personalized email inviting them to book an interview.
