How I Designed an Automated Flow that Personalizes Emails Based on User Fitness goals (No-code)

When users sign-up for a product and get a generic “welcome” email, something important gets lost: relevance.

In this mock project, i looked into how a fitness SaaS app like BodyGoals can automate its onboarding and personalize each welcome message using tools like Tally, Google Sheets, and email automation all without code.

PROBLEM:

Many early-stage Saas teams struggle to convert leads into active users. They often lose people at the first touch point due to

  1. Delayed welcome or missing welcome emails

  2. Generic messages that do not reflect user intent

  3. No system for segmenting based on user goals

    As someone learning customer success and automation, i wanted to design a simple but effective way to plug this leak and help new users feel seen immediately

    SOLUTION:

    I wanted to build a lightweight system where:

    1. New users sign-up using a form

    2. Their input is segmented

    3. They instantly get a personalized onboarding email based on their training frequency and fitness goal

TOOLS

  1. Tally

  2. Google Sheets

USER JOURNEY

Users fill out a tally form with

  1. First Name

  2. Email

  3. Primary Fitness Goal

  4. Weekly training Frequency

DATA SEGMENTATION

Users responses are automatically sent to a google sheet and segmented based on their training frequency and goals.

ONBOARDING

Personalized onboarding emails are sent that contains their name, fitness goal, weekly training frequency

Why This Matters

By sending personalized emails right after sign-up, the startup:

  • Creates a stronger first impression

  • Shows users they are heard and understood

  • Begins the customer journey with relevance and care

Even in this mock project, this system already solves three major onboarding leaks*:*

  1. Slow or missing welcome emails

  2. One-size-fits-all communication

  3. Lack of segmentation logic

What I’d Follow up with

  • Add goal-specific content to the email (e.g. recommended workouts or tips)

  • Trigger a follow-up email if the user doesn’t take action within 48 hours

  • Track open/click rates to measure engagement

  • Offer an in-app onboarding checklist after the email

What I Learned

This project taught me how powerful simple automation can be when combined with a customer-first mindset. It’s not just about sending emails—it’s about starting relationships that convert.

Even with no code, the right flow can:

  • Improve retention

  • Build trust
