Have you ever tried building a bookshelf with instructions that looked like ancient hieroglyphs? Technical documentation is the hero (or sometimes villain) in those moments, depending on how well it’s written. But not all technical docs are created equal!

Let’s unzip the folder and take a good look.

Why Do We Have So Many Types?

Think of technical documentation as a Swiss Army knife: different tools for different jobs, all aimed at making complex stuff clear. Some docs teach, some guide, some reference, and some persuade. Whether you’re onboarding new hires, supporting customers, or wooing investors, there’s a flavor of documentation made just for the job.

Main Categories of Technical Documentation

1. Product Documentation

This is the bread-and-butter of technical writing explanations and guides to help users (and sometimes developers) use, maintain, or troubleshoot a product.

Examples

  • User Guides & Manuals: How to install, use, or fix your new gadget, from coffee machines to apps.

  • API Documentation: For developers, explaining how to connect and use an API (imagine Ikea instructions, but for software).

  • Release Notes: Tells users what’s new, what’s fixed, and sometimes, what’s mysteriously changed.

  • Installation & Setup Guides: Exactly what you need so your software doesn’t break your computer (or your spirit).

2. Process Documentation

Designed for teams working behind the scenes, these docs standardize workflows, clarify procedures, and keep chaos out of the office kitchen.

  • Standard Operating Procedures (SOPs): How to handle tasks consistently (like “how to never accidentally mass-email the company, again”).

  • Internal Wikis: Living documents for employees about policies, IT support, and “don’t microwave fish in the break room” rules.

  • Project Plans & Roadmaps: Step-by-step blueprints for launching products or features.

3. Sales and Marketing Documentation

Not all tech docs live in a server room are crafted to close deals, attract partners, and explain stuff to the outside world.

  • White Papers & Case Studies: Deep dives or real-world success stories that show your product rocks (with numbers to prove it).

  • Technical Reference: Everything detailed but dry (“what do all these features do?”)

  • Explanations: Deep dives to build understanding (“why does it work this way?”)

Brilliant docs are like good jokes: clear, concise, and everyone gets the punchline. When writing or reading technical documentation, always:
